    Bring Your Own Device (BYOD) Procedure

    1. Preamble

    This procedure explains the management process and controls required for BYOD. It will assist in making a decision about whether to select a BYOD or an Institute-provided computing device.

    2. Parent Policy

    3. BYOD Decision

    The decision to use a BYOD or a supplied personal computing device is an option available to all staff at the Institute. This is normally based on their personal preferences, what devices staff have available, and how comfortable staff are with using a personal device for work.

    When staff first commence at the Institute, they will be offered the choice of when they first start with the business. The initial decision can be reviewed with their manager at any point during their employment.

    4. BYOD Device Compatibility

    4.1 Hardware

    4.1.1 The device must be fit for purpose. This means that it must be fully functional and able to perform all required work within a reasonable performance time frame.

    4.1.2 The device must be able to successfully connect to the Institute’s Wi-Fi systems when in use at the Institute's premises.

    4.1.3 The device and all peripherals including but not limited to the power supply must be in good condition and pose no risk to the user or others who may come in contact with it.

    4.2 Software

    4.2.1 The device needs to have all the required software installed. Microsoft Office can be downloaded and installed by accessing https://office.com using your Cairnmillar email login.

    4.2.2 Specialist software that may be required from time to time and can be obtained from IT for installation by following an approval process. The quickest way to do this is to raise a ticket by emailing [email protected] with your request.

    4.3 Security

    Security is essential to keep the Institute and your personal data safe.

    4.3.1. You must have a valid, approved commercial-grade Antivirus solution installed. Contact IT for the current list of approved solutions.

    4.3.2. You must have a firewall running. By default, both Apple and Windows have a built-in firewall with default settings that are normally sufficient. If you are going to make changes to these settings, please talk to IT about possible impacts on your device security.

    5. Device Logins

    Logins on staff-owned devices need to be managed appropriately by the staff member using the device. An improper set of logins can allow other people, be they family members or friends, to access confidential information. Staff must have a secure login on their device that only they can access for use with Cairnmillar computing infrastructure and services.

    6. Updates

    Keeping your device up to date with patches and security fixes is an important step in maintaining a secure and healthy device. Staff must ensure that updates to the operating system (MacOS, Windows, Android, Linux, etc.) and software packages they have are updated as often as possible.

    7. Loan Availability

    The institute understands that, at times, staff members' personal devices may become unavailable due to needing repairs, and in those instances, The Institute will try its best to make a loan machine available for the short term.

    The loan machines will not be available where:

    1. Your device is in use by another family member or friend and not available for work
    2. You have left your device at home
    3. Your device does not have the required software
    4. Your device is not compatible with the Institute's computing infrastructure.

    8. Initiating the BYOD Choice

    Staff complete and submit the ‘BYOD Agreement Staff’ form.
